This Administrative Assistant position will provide administrative support to the Director of Pricing & Legal Project Mgmt, the Director of Paralegal Services, and to the firm’s Practice Group Business Managers. The successful candidate must be able to provide superb customer service to internal and external clients alike and ensure that administrative details are addressed in a timely, accurate and confidential manner.
This position requires heavy calendaring and schedule coordination, coordination of administrative projects as requested from Practice Mgmt. Directors and Business Managers, including but not limited to complex meeting planning and scheduling, assistance with internal and external communications, and drafting/editing of documents and spreadsheets. Additional responsibilities include supporting the logistical aspects of National Practice Group conferences, yearly, monthly and quarterly meetings and events which may include drafting agendas, disseminating materials, reserving conference rooms, coordinating technical support and ordering catering. This position will also work closely with the Practice Management Executive Assistant to maintain National Practice Group records such as membership rosters, distribution lists and monthly budget reports; assist with the maintenance of the department’s organizational charts and other departmental content; and distribute monthly financial packets and reports. This position will assist the Paralegal Director with the paralegal (and paralegal assistant) review process, and requires the ability to maintain confidentiality. This position also supports general requests from across the firm to answer questions, provide documents and facilitate good relations between the department and all employees. The Administrative Assistant will work closely with multiple executives as part of the firm’s “team” approach and will provide back-up, cross-departmental assistance for other Executive and Administrative Assistants, as necessary.
This position requires proficiency in all Microsoft Office applications, particularly Excel, as well as strong organization and time management skills, creative problem solving skills, and keen attention to detail. Excellent people skills and professional demeanor are a must. Ideal candidates will have superb internal and external customer service skills and the ability to express self effectively, both orally and in writing. Excellent written communication skills and proofreading abilities are crucial. This position also requires the ability to prioritize responsibilities efficiently. Must be able to work both independently and as part of a team.
This position requires a high school diploma and a minimum of two years of Administrative Assistant experience. Bachelor's degree preferred. Ideal candidates will have Law firm and/or Finance professional experience.
