Chapman and Cutler LLP is seeking to hire a Securities Fund Assistant to join our corporate and securities practice in the Firm’s Chicago office. This individual will be responsible for preparation and maintenance of Securities Fund documents as assigned by the Securities Fund Coordinator.
Responsibilities will include but are not limited to the following:
Prepare and maintain Securities Fund documents as determined by the Securities Fund Coordinator; prepare letters, memos, bills, documents, and labels utilizing the Document Management System
Make document edits; maintain attention to detail; create best practices for routine and repetitive tasks
Assemble documents according to client and/or State specifications; coordinate obtaining copies of signed pages; keep track of missing items and work with appropriate staff to obtain those documents
Prepare copies of documents for delivery to clients and for internal files
Package Securities Fund documents and send out utilizing appropriate carrier service
Communicate effectively with clients via telephone and email; maintain organized email folders
Maintain organized files and binders; includes prompt sorting and filing of permits, postcards, and related documents; burn CD’s for client distribution
Coordinate with various departments, such as Accounting for check requests and billing concerns; Canon for copying/scanning/binding of documents and batch mailings; Records Center for shifting of files
Keep Securities Fund Coordinator informed of the status of all Securities Fund work; follow all procedures for Securities Fund documents and files; maintain a calendar of production schedule deadlines and prepare documents in advance of due dates
Assist with attorney work, including entering timesheets, submitting expense reports, preparing and editing requested documents, document redlining; maintain all document work in the Document Management System
Excellent interpersonal skills
Self-motivated, responsible individual able to work under minimal supervision and able to meet deadlines
Must possess good communication and organizational skills
Attention to detail, especially during repetitive work and routine tasks
Excellent typing (+40 wpm)
Computer knowledge including use of Microsoft Office preferred
Oriented toward teamwork
