Attorney Professional Development, Professional Legal Management
The Legal Personnel Assistant will assist with general legal personnel duties, as well as administration of the Firm's diversity & inclusion, Partner mentor and associate advisor programs.
Handling administrative tasks such as answering phones, file maintenance, distributing mail, scheduling meetings and creating applicable agendas, ordering gifts and submitting expenses;
Assisting entire team with logistical aspects of cyclical tasks, projects and programs;
Coordinating the associate departure process and updating departure policies and processes, as needed;
Processing paperwork for charitable contributions made in connection with the Firm’s sponsorship of diversity-related events;
Drafting various forms of written communication including offer/acceptance letters, immigration letters, employment verification letters and letters to obtain certificates of good standing, as well as internal and external emails;
Coordinating and assisting with events such as Women's Initiative, affinity group and Working Parents Group lunches, bank visits, and Diversity and Inclusion events;
Processing partner bar dues, relocation and miscellaneous invoices;
Coordinating distribution of American Express cards and corresponding policy;
Coordinating professional photography sessions for lawyers and Administrative Managers;
Reviewing and analyzing different sections of the Legal Personnel budget on a monthly basis;
Preparing distribution for Corporate and Litigation caucus;
Reviewing and following up with departed associates regarding expenses reports;
Conducting tours for new and visiting associates;
Assisting with new arrival on-boarding: orientation, biographies, and schedules;
Identifying associates who indicate future clerkship plans and consulting with Managing Partners regarding associates departing for clerkships;
Preparing law related affidavits for admission to the bar;
Tracking bar exam results and admission, and collecting certificates of good standing for New York and other State/Country admissions;
Assisting with recruiting efforts, as needed; and
Performing other duties as assigned.
Bachelor’s degree and 2+ years of applicable administrative work experience;
Ability to work and interact with attorneys at all levels;
Ability to gain strong knowledge of the Firm, its culture, practices and policies;
Ability to deal discreetly with confidential information;
Excellent writing and communication skills, in addition to superior judgment;
Computer applications including Word, Excel, Lotus Notes and ability to learn other Legal Personnel and Recruiting applications built specifically for the Firm;
Ability to work well under pressure and coordinate several activities at one time;
Capable of solving problems and meeting deadlines; and
