Holland & Knight is seeking an experienced Information Governance Senior Manager. This position can be located in our Jacksonville, FL office or Operations Center in Brandon, FL. The Information Governance Senior Manager will assist Firm’s Legal Department in addressing the Firm’s Information Governance (IG) and Records Management (RM) functions. The IG Department manages the Firm’s RM and Electronic Matter File (EMF) programs, sets standards for RM and EMF, and assists attorneys and staff with RM and EMF issues. Additionally, the IG Department works to define, establish and implement IG standards for the Firm.
Key Responsibilities Include:
Develop, document, maintain and implement policies, processes and workflows for IG and RM activities.
Manage the following IG operations: records retention schedule adoption and implementation; records disposition; document holds, preservation orders and destruction obligations; collection of information in response to third party production subpoenas served on the Firm; data loss prevention program; matter/attorney mobility and import/export of paper records and electronically stored information (ESI).
Manage RM operations to ensure that IG processes are applied appropriately by Firm personnel and offsite storage vendors.
Define and document standards for EMF including: ensure that EMF principles are applied and embedded into various IG systems and processes; migration of legacy unstructured ESI into EMF framework; work with IT Department to ensure that EMF standards are embedded in IT Department processes, systems and support.
Work with IT Department on appropriate information back up strategies and policies.
Develop and maintain data map, showing data storage repositories, applications and data flows.
Define and implement digitization technologies for hard copy records.
Develop RM and EMF strategies for Firm business and administrative records and information.
Develop IG training programs for attorneys, staff and administration.
Define functional requirements for systems and technologies to support IG and RM activities; develop, test and deploy IG and RM systems.
Oversee and manage various individuals who support the IG and Records functions, including hiring, training, coaching, mentoring, and evaluating.
10+ years of relevant law firm Information Governance management experience.
Proficiency in eDiscovery management software, word processing, spreadsheets, and workflow applications, as well as computer-assisted legal research.
Ability to work independently with minimal direct supervision.
Excellent organizational and communication (both oral and written) skills required.
Ability to work effectively with all levels of law firm personnel, including partners and administrative managers.
Bachelor’s Degree or higher.
