Reporting to the Director of Legal Personnel, the position is responsible for managing the Transactional Rotation Program and overseeing aspects of the associate personnel and performance management programs. The individual will work closely with the Firm’s Practice Groups and Administrative teams in all offices. The primary responsibilities include:
Responsible for Legal Personnel employee transactions in the Firm’s HRIS System. Responsibilities include processing business processes for worker changes; developing best practices and continued development of the Legal Personnel training manual. This role will require interaction with all office managers and relevant administrative teams to implement worker changes effectively. The Legal Personnel Supervisor will have a role in auditing HRIS records to ensure accuracy.
Manage the Firm’s Transactional Rotation Program. The Legal Personnel Supervisor works with all incoming First Year associates to establish practice group preferences and meets with partners in transactional groups to align associate interests with Practice Group needs. The Legal Personnel Supervisor prepares the rotation charts and all tracking documents for the program. The Legal Personnel Supervisor will manage three review cycles for the rotation program, including gathering feedback from supervising lawyers. The Supervisor will gather final preferences from rotating associates and will work with Practice Groups to assign associates to Practice Groups.
Manage the Firm's relocation process including supervision of the Legal Personnel Assistant responsible for relocation. Work with associates and office managers to ensure policies are communicated clearly and implemented in a consistent fashion. Manage tracking process for reimbursements.
Manage first year associate onboarding including serving as the main contact for the incoming class. Supervise onboarding reimbursement process including managing the Legal Personnel Assistant, budget tracking and working with Legal Personnel team in processing onboarding reimbursements.
Oversee contract attorney program including new contract attorney onboarding, tracking and approving hours of contract attorneys. Communication with relevant partners, office managers and other administrative team members.
Responsible for tracking bar admissions for all incoming associates, both first-year associates and laterals, for all offices. Serve as resource to incoming lawyers and office managers to outline the NY bar admission process for admission. Process reimbursements related to admission. Supervise Legal Personnel Assistant in tracking bar admission.
Oversee record keeping for associates and contract attorneys.
Other responsibilities as they are assigned from time to time.
Four years' experience in a related personnel field required.
Law firm experience strongly preferred.
Excellent organizational skills and ability to manage in a fast-paced environment.
High level of self-motivation and energy.
Strong verbal and written communication skills.
Excellent teamwork with a collaborative approach.
Familiarity with Workday strongly preferred.
