Provide administrative support to the Legal Recruiting Manager and coordinate administrative functions for the recruiting efforts of the D.C. office, including professional development initiatives. Provide administrative support to and work closely with the Sr. Manager of the Antitrust Practice Group to execute short-term business development and marketing-related responsibilities, including processing of department’s client bills. Assist with coordinating various events for both managers.
Serve as an ambassador of the Firm with candidates, summer associates, law school administration, law student organizations, vendors and diversity organizations;
Contact those law schools where the Recruiting Manager and Hiring Partner decide to interview on campus and complete the necessary forms to secure an interview date;
Welcome students in hospitality suite during OCI, as needed;
Set up on campus interviews and assemble documentation to accompany interviewing attorneys;
Coordinate call back interviews;
Gather evaluations and process reports for review by Hiring Partner and Practice Group Leaders;
Process reimbursement of interviewing-related expenses;
Generate offer/reject letters;
Maintain vi Desktop, candidate database.
Assist the Recruiting Manager in coordinating summer events which encourage interaction among members of the Firm and summer associates. Attend social events and facilitate interaction among attorneys and summer associates;
Assist the Recruiting Manager in coordinating logistical preparations and orientation agendas for summer associates;
Lateral Associate Recruiting
Assist Recruiting Manager and Hiring Partner with the lateral attorney recruiting process, including preparation of interview schedules.
Antitrust Business Development
Assist and coordinate attorney website and pitch bio updates;
Assist with creating pitch materials, as well as updating “off the shelf” business development materials;
Assist with tracking/gathering Antitrust specific deals for Firm-wide corporate deal database;
Assist with updating mailing and event lists;
Assist with directory and award submissions;
Assist with the planning and execution of external events, in particular the annual ABA Spring Meeting reception and the bi-annual Antitrust Practice Group retreat.
Antitrust Practice Group Support
Coordinate internal events and meetings, such as practice group lunches and happy hours;
Provide significant assistance with processing the group’s client bills;
Assist with tracking/verifying group’s business development expenses;
Processes expense reports and invoices.
Attorney Training/Professional Development
Distribute materials, sign-in sheets, program evaluations and coordinate with Weil-NY to ensure NY CLE is granted;
Handle process re: approval of VA CLE credit for VA admitted attorneys.
Coordinate bar exam expenses/reimbursements;
Coordinate AMEX backup for monthly corporate credit card statement;
Assist the Recruiting Manager in coordinating periodic office attorney lunches, office TGIFs, office Holiday Party and other events as they arise;
Submit expense reimbursement for managers supported;
Other duties as assigned.
Knowledge, Skills & Abilities
2+ years’ experience in an administrative role within a fast-paced professional services environment; big law experience strongly preferred;
Proficient in MS Office;
Ability to work independently and handle multiple tasks simultaneously;
Exhibits excellent interpersonal skills in communications in person, by e-mail and telephone and provides information with courtesy and tact; follows instructions effectively from a diverse group of clients, attorneys and staff;
Ability to handle high-pressured situations in a courteous and professional manner;
Ability to organize and prioritize numerous tasks and complete them under time constraints;
Work occasionally requires irregular hours and/or more than 35 hours per week to perform the essential duties for the position;
Ability to handle confidential material with discretion.
