We are currently seeking a full-time Legal Talent Assistant in our downtown Cleveland office. The Legal Talent Assistant will be responsible for providing administrative assistance to members of the Talent Management department; primarily focused in the areas of Diversity & Inclusion, Women's Initiative, and Professional Development, with support in Legal Recruiting as needed.
Position responsibilities include but are not limited to:
Diversity & Inclusion
Provide administrative support to the firm-wide Diversity & Inclusion and Spotlight on Women programs including coordinating logistics for meetings and events in Cleveland, plus support for other offices as needed.
Support diversity recruiting efforts including coordinating minority career fairs.
Assist with Diversity & Inclusion and Spotlight on Women survey administration including data collection, reporting, and survey formatting.
Conduct research for special events, projects and programs as needed. Create or update documents and templates for both programs with the support of Marketing.
Provide administrative assistance with respect to practice group and firm-wide lawyer training programs, including scheduling, compiling program materials, conference room reservations, and hospitality requests.
Handle the following in the Learning Management System (LMS): Entering course information as provided by speakers or by management, drafting and sending approved invitations; sending out weekly reminders of upcoming events; drafting presentation materials, updating course attendance following each program and sending out course surveys.
Maintain Talent Management Training Calendar to ensure that all programs, once finalized, are listed for the entire Talent Management department to view.
Handle the Continuing Legal Education (CLE) accreditation process for in-house trainings including: Tracking attendance and maintaining minutes of programs, identifying and preparing all necessary program materials for submittal to state for accreditation, and sending certificates once CLE has been awarded.
Maintain firm membership with Practising Law Institute (PLI), manage accurate membership roster, market PLI programs to lawyers, and coordinate participation.
Coordinate the non-partner lawyers’ integration programs, including the Welcome Wagon and Buddy programs.
Provide administrative assistance with respect to the annual performance review and compensation adjustment process for non-partner attorneys.
Provide administrative assistance with respect to the Sixth-Month Review Process.
Coordinate first-year associate orientation and boot camp, including scheduling and confirming speakers, coordinating logistics and drafting the training manual.
Maintain all non-partners’ LPC files, both in hard copy and electronically.
Provide administrative support to the foreign lawyer hiring process, including candidate tracking, scheduling, processing pre-hire paperwork, and new hire onboarding.
Coordinate candidate interviews, circulate interview schedules, and assist with the collection of evaluations/feedback.
Provide administrative support for the recruiting managers, including: Assist with travel arrangements for candidates, work with third party provider to oversee background check process for candidates, and handle all data entry in the applicant tracking software (ViRecruit) and onboarding software (Red Carpet).
Provide general administrative support to the Chief Talent Officer, Associate Director of Legal Talent, and Managers in the Talent Management team.
Additional duties as assigned.
Qualified candidates will have at least one year of administrative experience, preferably in the legal or professional services arena. Bachelor’s Degree and experience with professional development, diversity and inclusion and/or legal recruiting is preferred. Impeccable attention to detail and strong communication skills are necessary. Must be proficient in Microsoft Office programs and have strong computer skills. Ability to provide excellent service to both internal and external clients. Flexibility to work beyond regular business hours as required.
