We seek a full-time Legal Personnel Assistant to provide efficient and responsive administrative support to the Washington Legal Personnel and Recruiting Department. This essential position focuses on continuing legal education (CLE) activities as well as legal personnel and associate life matters. This is a great opportunity for a professional looking to begin a career in attorney development or recruiting. Core duties include Bar admission monitoring, associate on-boarding, departmental telephone coverage, meeting and events planning, file maintenance, faxing, scanning and correspondence drafting. Successful candidates will demonstrate self-initiative, a high attention to detail, strong oral and written communication skills, superior organization and tracking skills, tech savvy, discretion, a team player mentality, poise, flexibility and a willingness to work overtime as needed to support the needs of the department and the firm.
Regular Hours: 9:00 a.m. to 5:00 p.m.
Reports to: Director of Legal Personnel and Recruiting, Washington Office
Review associate diary submission every 15 days and ensure that they have been submitted
Process documentation related to attorney’s admittance to various bars
Track all bar memberships and maintain updated information on ClearyNet for all attorneys
Create website entries for all staff attorneys
Create welcome materials for all incoming associates
Coordinate all new associate orientations
Compile vacation statistics for associate vacations
Create monthly hours charts for associates
Facilitate all background checks for incoming associates
Track all conflicts forms for new associates
Assist with occasional projects relating to the statistical study of associate attrition and diversity surveys
Track associate health club memberships
Coordinate all Lawyers Lunches and Wine and Cheese programs
Assist with other general matters related to associates
Maintain incoming associate extranet site
Assign all applicant reference checks to attorneys or paralegals
Provide back-up to team on all recruiting matters as needed
Assist at various summer program events and with miscellaneous tasks throughout the summer
Bachelor’s degree, strongly preferred, or equivalent work experience
Minimum of one year of experience providing administrative support in a professional services setting
Proficiency with recent versions of Microsoft Word and Excel
Strong oral and written communication skills, including the ability to communicate effectively with all levels of personnel with tact and diplomacy
Superior organizational skills and attention to detail
Ability to handle confidential information and materials with care and discretion
Flexible team player with the ability to prioritize among competing deadlines and tasks
