Attorney Professional Development, Professional Legal Management
The Attorney Recruiting and Professional Development Assistant is responsible for clerical and administrative functions to assist the Attorney Recruiting and Professional Development (PD) Department. This position will work closely with the CLE and PD team and attorneys to assist in ensuring attorneys are in compliance with CLE requirements, licensing, professional association memberships and other bar dues and memberships, as well as assist with attorney training programming and attorney recruiting duties. This position has no supervisory responsibilities.
EDUCATION AND EXPERIENCE
• High school degree or equivalent experience. • 3 years of administrative assistant experience in professional services environment. • Strong computer skills, including experience with Microsoft Word, Outlook, Excel and PowerPoint.
• Excellent interpersonal, written and verbal communication skills. • Self-motivated with excellent organizational skills and attention to detail. • Highly professional with a strong customer service orientation, commitment to meeting deadlines, and ability to manage competing priorities in a fast-paced and dynamic environment.
• Able to maintain confidentiality internally and externally. • A team player who motivates and educates other team members. • Regular and predictable attendance is an essential function of the job. POSITION RESPONSIBILITIES
Continuing Legal Education (CLE) (25%) At the direction of and with the supervision of the CLE Specialist and/or Coordinator: Register, calendar, and process payments for attorneys to attend external CLE programs. Assist in applying for CLE credit in jurisdictions where Firm attorneys are licensed. Update and maintain the Firm's CLE database (CE Manager), including CLE term file processing and the CLE onboarding file process. Draft annual CLE compliance reports for attorneys to submit to appropriate jurisdictions. Maintain internal CLE programming material as required by CLE commissions. Report all internal CLE programming to various states' CLE Commissions. Prepare, distribute and maintain certificates of attendance and attendance records for programs. Contact external CLE program sponsors for brochures, certificates of attendance and supporting material.
Bar Dues, Memberships and Associations (25%) Collect mandatory bar due forms for multiple states. Draft renewal forms for attorneys, including IOLTA and Liability Insurance information. Process membership dues, non-bar related associations, and professional memberships. Maintain records for attorneys. Track and prepare reports for attorney memberships.
Professional Development (PD) (25%) Reserve conference rooms for attorney professional development training programs, communicate with all offices regarding attendance for lunch counts, sign-in sheets, and KS affidavits. Organize materials into pdfs or other format for distribution to participants. Track and prepare reports for programming in Excel and/or CE Manager. Assist PD team with other programming-related duties, as requested.
Attorney Recruiting & Other Duties (25%) Assist with preparing and maintaining spreadsheets that track attorneys, jurisdictions, bar membership numbers and renewal information. Assist the Marketing Department with bar-related information and CLE accreditation for marketing programs. Assist Attorney Recruiting with applicant tracking and entering of data in recruiting software. Prepare interview schedules, send calendar appointments for interviews, send evaluations forms and follow-up correspondence. Maintain Attorney Recruiting reporting. Travel requirements minimal. Perform other duties, as assigned.
