This is an exciting opportunity to work for one of the top law firms in the U.S. Davis Wright Tremaine LLP is looking for an experienced Legal Secretary join our litigation team in Portland. Strong legal secretaries with California litigation experience are encouraged to apply. Candidates must reside in the Portland metropolitan area, or have plans to relocate.
This position provides a comprehensive range of secretarial support to attorneys and paralegals including typing, editing and/or formatting legal documents and correspondence, filing documents with various courts, both electronically and via messenger, arranging for service of documents on opposing counsel, telephone communications with clients and business contacts, inputting attorney time, paper and electronic file maintenance, calendar and contacts maintenance, coordinating travel arrangements, preparing reimbursement forms and other tasks as assigned.

Type, proofread, format and edit correspondence, memoranda, agreements, pleadings and other legal and business documents from notes, templates, drafts, or dictated text under time sensitive deadlines.
Heavy court filings including filing pleadings with court and serving on opposing and associated counsel, at state and federal level and in many different venues, including, but not limited to Oregon and California.
Track litigation deadlines, provide deadlines to docketing and confirm deadlines are docketed correctly.
Maintain attorney and client files, both paper and electronic formats. Maintain email and electronic files.
Draft attorney time into time-keeping program daily.
Open new client and new matter files.
Manage client billing process, including review and editing of pre-bills.
Check in regularly with attorney to ensure all aspects of any matter are under control. Prompt as needed.
Communicate clearly with all appropriate team members on project status.
Maintain attorney and client records. Maintain email and electronic records.
Schedule and coordinate appointments, meetings, conference calls and maintain calendars.
Answer, screen, and respond to phone calls.
Open and route mail, attaching appropriate files and documents.
Make travel arrangement, prepare and submit expense reimbursement reports and check requests.
Schedule conference rooms using Resource Scheduler and arrange for food service and audio-visual equipment as needed.
Assist fellow secretaries and additional attorneys as needed.
Understand assigned timekeepers' practice and clients.
Assign appropriate tasks to word processing, file room and other support staff. Follow up on all projects.
Five+ years' experience as a litigation legal secretary in a law firm environment is required.
Ability to understand and follow work directions, manage multiple priorities and respond to urgent requests with minimal supervision.
Ability to take initiative and ownership of projects and follow them through to completion, regardless of who is doing the work.
Expertise in Microsoft Word and Outlook is essential. Must also be proficient in Adobe, Excel and PowerPoint. Experience working with NetDocs is preferred.
Current experience filing documents with State and Federal Courts, including electronic filing. Ability to read and understand court rules, including rules for courts you have not worked with before, and to ensure compliance with assigned judge's Individual Rules and Practices.
High level of energy required.
Availability and willingness to work from 9:00 a.m. - 5:30 p.m., and overtime as needed or requested.
Excellent keyboarding, grammar, spelling and proofreading skills.
Ability to pay close attention to detail and be highly organized and accurate.
Excellent communication skills, both verbal and written, with clients, firm members, and other business contacts.
Strong communication skills, both verbal and written, with all levels of a professional services organization, including interpersonal skills.
Ability to work in a team-oriented, service focused environment and to handle stressful situations in a calm, composed manner.
Strong time management skills.
A high school diploma or GED certification is required.
Ability to read and write English.
While performing the duties of this Job, the employee is regularly required to use hands to finger, handle, or feel and reach with hands and arms. The employee is frequently required to stand; walk; sit and stoop, kneel, crouch, or crawl. The employee is occasionally required to climb or balance.
The employee must regularly lift and/or move up to 10 pounds, and occasionally lift and/or move up to 25 pounds. Specific vision abilities required by this job include close vision, color vision, depth perception and ability to adjust focus.
