Working closely with the Practice Group Managers, the Practice Group Administrative Coordinator is responsible for providing administrative and operational assistance to the Practice Group Managers at the firm on a daily basis. It is important to note that the Practice Group Managers sit in various offices throughout the firm, so it is imperative the Coordinator be able to work successfully with people who are based in other offices.
In accordance with the Firm’s Client Service Initiatives, the Practice Group Administrative Coordinator must display consistent good judgment and have effective communication skills. Confidentiality, and discretion are required consistently.
ESSENTIAL JOB FUNCTIONS
Coordinate logistics for Practice Group Meetings, including circulating materials ahead of the meetings, and assisting with drafting agendas as requested.
Assists the Practice Group Managers and the National Events team with planning practice group retreats and special events.
Monitor all non-partner attorney time entry for compliance with firm policies.
Coordinate Annual Membership of various association dues for all attorneys at the firm to ensure compliance with firm policies.
Assist the Practice Group Managers with following-up with attorneys across the firm on administrative deliverables (e.g. reviews not completed).
Develop and maintain the Practice Group Management Departments annual calendar.
Assist the Practice Group Managers with monthly reports by taking ownership of requesting financial reports from the Finance Department. In addition, the Coordinator will also work with the Practice Group Management team and the Finance Department on ad hoc reporting needs and the compiling and maintaining of same for the Practice Group Managers.
Assist the Managing Directors with drafting and then monitoring expense budgets for the Practice Group Management Department.
Lend administrative support to the Practice Group Managers in regards to monitoring expense budgets, including reviewing and facilitating expense reports.
Assists the Practice Group Managers in their role of coordinating practice group training events with the Professional Development Department. This includes assisting with the three (3) month First Year Associate Development Program and mid-level training sessions that run throughout the year.
Working with the Practice Group Managers and the Professional Development Department, maintain and catalogue training materials that support practice specific training initiatives and firm-wide training initiatives.
Assist the Practice Group Managers with reminders to associates during quarterly and annual staff review time about deadlines and timeframes.
Assist the Practice Group Managers as they work with the National Events team on business development events that relate to their practice group.

Must possess excellent knowledge of MS Office Applications (Office 2016 and Windows 10 preferred), including a proficiency in Microsoft Office Suite (Outlook, Word, Excel, etc.).
Must have excellent oral communication skills, especially the use of proper grammar.
Must have excellent written communication skills that are technically sound, grammatically correct and without typographical errors.

Must be able to travel to other firm offices as necessary (less than 5% travel expected).

Must be flexible to work overtime as needed (i.e., after hours, weekends, holidays, etc.)
EDUCATION AND EXPERIENCE:
College Degree required
Prior experience working in a professional services environment a plus but not mandatory.
