Willkie Farr & Gallagher LLP has an opening for a Legal Recruiting Assistant or Coordinator in our New York office. The successful candidate will be responsible for the following legal recruitment and personnel functions, including, but not limited to, general legal recruitment, professional development and personnel support, as well as additional projects upon request.
Attracting, Recruiting and Hiring
Assist leadership with the lateral attorney and law school recruitment process, including processing and tracking applications, scheduling interviews, preparing correspondence, preparing interview schedules and packets.
Maintain and ensure accuracy of applicant database (ViDesktop) for all entry-level and lateral associate hiring activity.
Enter data for all search firm, unsolicited and on-campus applicants. Track pertinent candidate information.
Assist with day-to-day operations for the New York and California offices’ recruiting season.
Assist with preparation for on-campus interviews.
Assist in the coordination of the interview process including scheduling office interviews.
Assist in the organization of materials for hiring committee meetings including generating hiring reports.
Assist with all facets of the Firm’s summer program.
Coordinate orientation, on-boarding and integration of summer associates.
Create and execute both remote and in-person events, activities and training programs.
Communication and Outreach
Maintain and update print/online attorney recruitment material, the intranet page, as well as the "Careers" section of the Firm’s website.
Serve as an ambassador of the Firm with candidates, summer associates, law school administration, law student organizations, vendors and diversity organizations.
Plan receptions, law school events related to recruiting, summer events and practice group lunches.
Coordinate diversity sponsorships and attorney attendance at sponsored diversity events, including in-house receptions and Firm visits.
Coordinate Firm's relationships with local venues.
Order Firm gifts and giveaways and monitor inventory.
Data management and Administration
Assist in the preparation of annual budget for recruitment and diversity activities and coordinating law school sponsorships and events.
Assist in the preparation of student surveys and statistical analyses.
Perform various clerical duties for the Legal Personnel and Recruiting Department as needed.
Update attorney files, monitor recruiting expenses, and process expense reimbursements.
The successful candidate must be team-oriented, self-motivated and have the ability to work independently, as well as possess the following characteristics:

Basic administrative support skills.
Strong interpersonal, written and oral communication skills with a service-oriented attitude.
Ability to effectively communicate in a courteous and professional manner.
Ability to juggle multiple assignments and adapt to changing priorities.
Ability to exercise discretion, good judgment, flexibility and maintain confidential information at all times.
Proficiency with Microsoft Word, PowerPoint and Excel.
Experience working with Symplicity (Law School employment communications tool), FLO and ViDesktop, our applicant tracking software, is strongly preferred.
Event planning experience.
Telecommuting is allowed.
