Baker Botts is seeking a dynamic Recruiting & Client Development Coordinator to fill an innovative role in our West Coast offices. They will be responsible for assisting in the execution of the firm’s West Coast portfolio of events, business development and marketing efforts, entry-level hiring, lateral hiring, and special projects. This unique market-facing role will work directly with active and prospective clients, lateral candidates and regional firm leadership. This is a full-time, exempt position with excellent benefits, located in either the San Francisco or Palo Alto office with a hybrid work schedule.
Regular travel between the Bay Area offices and surrounding area will be required. Travel to other non-resident office(s) to assist with client appreciation/business development and recruiting events on an as-needed basis. To be most successful in this role, the candidate should be a self-starter with a can-do attitude. They should convey confidence, operate with a high degree of confidentiality and be dedicated to providing superior service and value to both our clients and our lawyers. A thoughtful, experienced manner in dealing with fellow professionals is required.
Essential duties and responsibilities
- Plan and implement all aspects of the Summer Associate Program including on-boarding/off-boarding, work assignments and evaluations, advisor programs, budget tracking, and event planning and attendance.
- Support implementation of strategic marketing efforts for the West Coast offices including client appreciation/business development initiatives, events and sponsorships, and lateral attorney integration.
- Create and maintain West Coast marketing mailings and lists in contact management database, InterAction, and coordinate mailings in Vuture.
- Maintain recruiting database and applicant tracking as well as generate all correspondence, statistical reporting.
- Coordinate law school on-campus recruiting programs for assigned schools.
- Work with the local hiring partners and employment committees to coordinate callback interviews and the offer process for 1L and 2L candidates.
- Serve as outreach lead and manage all recruiting efforts at assigned law schools.
- Assist with all local lawyer on-boarding/off-boarding/status changes and lateral attorney integration by coordinating local office visits, scheduling regular check-in meetings and tracking progress of business development and marketing activities; includes basic onboarding tasks such as scheduling Firm photo shoot and drafting attorney biographies.
- Manage online content including lawyer biographies, event listings and intranet posts, including coordination with the Communications team for social media and PR/media-related requests.
- Track all client entertainment efforts and activities, including processing check requests, expense reimbursements, and updating the West Coast office’s Client Development and Recruiting budgets.
- Coordinate the drafting and editing of select business development materials, including presentations, electronic updates and newsletters; track outcomes and update records of same.
- Support preparation for internal meetings with Partners in Charge, Hiring Partners, West Coast Partners, and Strategic Business Development Committee.
- In connection with the firm’s Business Intelligence team, assist with conducting research and compiling information for business intelligence reports (company information, executive profiles, industry trends, and competitor information).
- Other projects as assigned by Senior Manager, Client Development – Regional, Recruiting & Client Development Manager, Hiring Partners, Director of Recruiting, and local office Partners-in-Charge.
Qualifications
- Bachelor's degree required.
- Minimum 2 years of legal recruiting or marketing experience, preferably within an AmLaw Top 200 law firm.
- Strong verbal and written communication skills are required.
- Proficiency with Microsoft Office (e.g. Outlook, Word, Excel, and Power Point) and CRM software (InterAction preferred); working knowledge of Vuture, Foundation, PitchPerfect, and Sitecore a plus.
- Candidate should be comfortable using Web-based software and research tools, experience with Pitchbook, Capital IQ, Monitor Suite, Hoover’s, and others a plus.
- Must demonstrate exceptional customer service skills and professional demeanor at all times.
- Must be highly organized, meticulously-detail oriented, while maintaining a high level of quality and accuracy.
- Must demonstrate a proven ability to handle confidential information with the utmost discretion.
- Ability to perform in a fast-paced environment, juggle multiple assignments, and work responsibly under pressure.
- Must be a highly resourceful team-player, and polite and respectful of others.
- Must speak and act professionally at all times and maintain a professional appearance.
Extent of Public Contact (Within and outside the Firm)
This position requires contact with individuals within the firm as follows:
- Extensive daily contact with lawyers and colleagues within the Recruiting and Client Development departments.
- Regular contact with other staff departments within the firm (professional development, practice management, etc.)
This position requires contact with individuals outside the firm as follows:
- Frequent contact with vendors/suppliers, law schools, industry organizations/conference providers and others in the event planning arena for client-facing and recruiting events.
- Frequent contact with law students and potential lateral attorney hires.
- Regular contact with firm clients and prospective clients in connection with firm events and initiatives.
Physical Demands
- Must be able to routinely lift and carry event materials and other items up to 10 pounds.
- Must be able to work at a computer for extensive periods of time.
- Position requires extensive telephone use.
- Must be able to lift, squat, kneel and bend.
- Position requires the ability to visit face-to-face and on the phone with lateral lawyer candidates and firm lawyers.
Working Condition and Environment
- Work is normally performed in a typical office work environment.
- Position is full-time and requires a five-day work week and standard hours as outlined in the Firm policy manual. Additional hours, including weekend and evening hours may be required in order to perform the essential functions of the job.
- Position may require some out-of-town travel, including weekends.
- Must be able to perform essential duties of the position with time constraints and frequent interruptions.
- Ability to work well in high pressure environments.
- Must be able to make site visits for event planning purposes.
- Fully vaccinated for COVID-19, subject to accommodation.
- This role may be hybrid and will require a minimum of three days per week (or at least 60%) present in the office, and up to two days per week (40%) may be performed remotely.
