Sheppard, Mullin, Richter & Hampton LLP, a global Am Law 50 firm, has an immediate opening for a Legal Recruiting Assistant in our Washington DC office.
As a member of the Sheppard Mullin’s Entry-Level Recruiting Team, the Legal Recruiting Assistant will support the Washington, D.C. office on all aspects of entry-level recruiting processes, including law student recruiting, the summer associate program, and campus relations; as well as provide administrative support to the firmwide Entry-Level Legal Recruiting team, including Legal Recruiting Coordinators, Regional Recruiting and Talent Management Specialist, the Legal Recruiting Manager, and the Director of Legal Recruiting. Additional responsibilities include assistance with Talent Management goals related to professional development and diversity and inclusion.
Responsibilities:
Support summer associate hiring process, including, but not limited to:
Register for on-campus interviews, job fairs and resume collections
Represent firm at in-person events
Review candidate application materials for interviewers
Schedule callback interviews
Support Recruiting Chairs preparation for Recruiting Committee meetings
Coordinate candidate follow-up
Plan and execute offer receptions
Prepare offer documents
Review and organize the recruiting department email inbox
Maintain applicant records; ensure data integrity; and prepare and analyze statistics
Oversee summer associate programs for assigned offices, including, but not limited to:
Organize orientation and training programs
Plan and attend events
Track summer budgets
Coordinate work assignments and evaluations
Monitor and gauge summer associate performance and integration
Prepare offer decision packets
Serve as relationship liaison for summer associates, attorneys and business services staff
Coordinate onboarding, orientation and integration of new associate classes, including, but not limited to:
Communicate with incoming associates and serve as resource prior to arrival
Collect HR materials and other onboarding documents
Coordinate with immigration specialists, as necessary
Facilitate campus relations, including but not limited to:
Develop and maintain positive relationships with regional and key law schools, including career services offices and student organizations
Identify recruitment opportunities that align with firm’s recruiting goals
Coordinate events with law school student groups and career services offices to support local and national strategic initiatives
Assist with creating content for and posting social media content for firm’s Instagram account
Process and track expense vouchers and invoices
Order and maintain giveaways for students and lawyers
Support other national talent development programs and initiatives, as necessary
Administrative support including arranging conference rooms and catering reservations and general filing
Other responsibilities as assigned
Essential Functions of Job:
Represent firm at campus and in-office functions and interact and build relationships with candidates
Maintain Applicant Tracking System and ensure data integrity
Review and synthesize application materials of candidates
Report on recruiting and summer program data
Communicate with law school career services personnel, lawyers and candidates
Support recruiting chairs and recruiting committee members
Other responsibilities as assigned to support recruiting function
Qualifications and Experience Required Qualifications: The ideal candidate will exhibit the following qualifications:
1-2+ years of relevant work experience
Excellent oral and written communication skills
Excellent judgment and respect for confidentiality
Team-oriented self-starter
Ability to prioritize work and multitask in a fast-paced environment
Ability to interact with all levels of personnel while demonstrating a professional and service- oriented demeanor
Strong organizational skills and attention to detail
Ability to learn and adapt to new software and processes
Preferred Qualifications: Prior law firm or corporate recruiting experience in a professional services environment a plus.
Education Required: Bachelor’s Degree
Computer/Software Knowledge Required: Must have computer skills in Word, Excel, and PowerPoint. Preferred:
Knowledge of viDesktop, Symplicity, and NetDocs systems is a plus
Advanced web skills and basic web/graphic design skills are helpful
Work Environment
Current Firm policy is hybrid–working in the office a minimum of 3 days per week, and working from home the rest of the week (subject to change). Additionally, this position will require coming into the office more than 3 days a week during May through August and potentially other months, as needed.
Overtime may be required as the job duties demand.
Travel Requirements Up to 25% travel to other U.S. offices for firm and recruiting events, as necessary.
